Booking, Cancellation & Refund Policy

Please read the following terms carefully before booking any auditorium, hall,
classroom, parking area or related facility.

Booking Policy

All bookings are subject to availability, management approval and compliance
with the rules prescribed by the institution.

  • Booking requests shall remain tentative until approved by the management.
  • Booking will be confirmed only after submission of complete details and required payment.
  • The premises must be used only for the purpose mentioned in the booking form.
  • Bookings cannot be transferred, assigned or sublet to any other person or organization.
  • Booking duration includes setup, decoration, rehearsal, event time, dismantling and cleanup.
  • Extra usage beyond booked hours will attract additional charges.
  • Same day bookings may not be accepted and are subject to management approval.
  • Outside vendors, decorators, caterers, photographers and sound providers require prior approval.
  • The organizer is responsible for guest discipline, cleanliness, safety and overall conduct.
  • Any damage to furniture, equipment, walls, flooring, electrical fittings or premises shall be recovered from the organizer.
  • Use of nails, drilling, painting, permanent pasting or damage-causing decoration is not permitted.
  • Sound, music and public address systems must follow local rules and permitted timings.
  • Illegal, unsafe, objectionable or nuisance-causing activities are strictly prohibited.
  • Management shall not be responsible for loss, theft or damage of personal belongings.
  • Parking is subject to availability and used at the owner’s risk.
  • Management reserves the right to reject, postpone or cancel bookings in unavoidable circumstances.

Cancellation Policy

Cancellation requests must be submitted in writing through official
communication channels and shall be valid only after acknowledgement
from the management.

  • Cancellation requests must be submitted at least 7 days before the event date to be eligible for refund.
  • No refund shall be provided for cancellations made less than 7 days before the event date.
  • No refund shall be provided for late arrival, early closure, partial usage or reduced attendance.
  • Bookings cancelled due to violation of rules, misconduct or non-payment shall not be eligible for refund.
  • In case of cancellation by management due to unavoidable circumstances, the amount paid may be refunded or adjusted against a future booking.

Rescheduling Policy

  • Rescheduling requests must be submitted at least 7 days before the event date.
  • Rescheduling is subject to hall availability and management approval.
  • Only one rescheduling request may be allowed at the discretion of the management.
  • Any difference in pricing, taxes or applicable charges must be paid before confirmation of the revised date.
  • Rescheduling requests made less than 7 days before the event may not be accepted.

Refund Policy

Refunds, wherever applicable, shall be processed only after approval
and completion of internal verification.

  • Approved refunds will be processed within 15–21 working days.
  • Refunds will be made through the original payment method, bank transfer or approved payment channel.
  • GST, payment gateway charges, convenience fees or administrative charges may be deducted where applicable.
  • Security deposit refund is subject to inspection of the premises after the event.
  • Deductions may apply for damage, excess usage, additional cleaning, unpaid dues or unauthorized activity.
  • Refunds may be withheld until all pending charges or liabilities are cleared.
  • The management’s decision regarding refund eligibility, deductions and timelines shall be final and binding.

Security Deposit & Damage Policy

  • The organizer shall be responsible for any loss or damage caused during the booking period.
  • Damage charges may be deducted from the security deposit or recovered separately.
  • Additional cleaning charges may apply if the premises are not handed over in acceptable condition.
  • Unauthorized electrical usage, extra generator usage or extended occupation may attract additional charges.
  • Security deposit refund shall be processed only after inspection and clearance from the concerned authority.

Management Rights

  • The management reserves the right to amend booking rules, pricing, availability and operational terms without prior notice.
  • The management may restrict bookings during examinations, institutional events, maintenance work, festivals, elections or special circumstances.
  • Final decision regarding booking approval, cancellation, rescheduling, refund and deductions shall rest with the management.
